How Do You Manage Social Media? Monthly Plans, Content Balance and Measurement

Craftsoft Editorial Team9 min read

Short answer

Social media management consists of four jobs: defining the goal and audience, building a monthly calendar on 3–5 content pillars, producing regularly (especially Reels) and tracking comments, messages and metrics every week. Success is measured not by follower count but by reach, saves, shares, profile visits and the enquiries or sales coming from social media.

In many businesses, social media is a task that gets the day done with the question “what shall we post this week?” Posts are irregular, the message is scattered and the effort’s return can’t be measured. Professional social media management, by contrast, is a system: it sets goals, ties content to a plan, produces regularly and measures the results. This guide explains the steps for setting up that system in your own business.

1. Set the Goal: What Will Social Media Do for You?

A restaurant expects reservations from social media, an e-commerce brand expects product sales and a B2B firm expects trust and quote requests. As the goal changes, so do the content type, the tone and the metric measured. Write the goal in one sentence, for example: “Get at least 40 reservation requests a month from Instagram.” That sentence becomes the compass for every content decision.

2. Build Content Pillars

Content pillars are the 3–5 main topics your account regularly talks about. Pillars make it easier to find ideas and stop the account from becoming a shop window that repeats the same thing.

  • Educational: short answers to customer questions, tips, how-to videos.
  • Product/service: features, moments of use, new products, prices and campaigns.
  • Behind the scenes: the team, the production process, a day in the life; it builds trust with a human face.
  • Customers: reviews, user content, before and after (in line with platform rules).
  • Topical and community: industry developments, questions, polls.

3. Prepare the Monthly Calendar in Advance

The calendar matches the month’s campaigns, special days and product focuses with your content pillars. A calendar ready at least two weeks ahead lets you plan shoots in batches, get copy approved and end last-minute panic. A practical rule: two value-creating posts for every sales-focused post.

4. Prioritise Reels and Short Video

On Instagram, the most effective way to reach new people is short video. A good Reel shows the question or the result in the first second, is shot vertically, has subtitles and stays between 15 and 45 seconds. The way to make production efficient is batch shooting: one or two shoot days a month produce several weeks of content. The same footage can also be used as ad creative.

Saves and shares are more valuable signals than likes. Produce content people will save to “look at later” or send to a friend.

5. Community Management: Sales Close in the DMs

Fast, sincere replies to comments and messages both send a positive signal to the algorithm and are where sales close. Create ready answers for frequently asked questions, but personalise every message. Replying to a price enquiry with a question that clarifies the need, rather than just a number, increases the chance of a sale.

6. Measure the Right Metrics

  • Reach and reach among non-followers: is the content reaching new people?
  • Saves and shares: is the content creating value?
  • Profile visits and link clicks: is interest turning into action?
  • DM, form and WhatsApp enquiries: is social media bringing in business?
  • Social-media-driven sales (with UTMs and discount codes).

In the monthly report, put the best- and worst-performing content side by side and update next month’s calendar with what you learn. Social media management is not a one-off setup but a loop that improves every month.

When Should You Get Professional Support?

If posting is becoming irregular, content production is disrupting the team’s core work or social media’s contribution to sales can’t be measured, it is time for professional support. At Craftsoft Creative we run strategy, the monthly calendar, shooting and editing, publishing, community management and reporting as a single package, and grow the content with Meta ads when needed.

Frequently asked

How many times a week should I post on Instagram?

Consistency matters more than frequency. For most businesses, 3–5 feed posts a week (most of them Reels) and a few Stories every day is a sustainable rhythm. Rather than low-quality daily posts, choose fewer pieces of content that are regular and well planned.

Is social media management the same as Meta ads?

No. Social media management is organic content, community and brand voice; Meta ads reach targeted people through paid distribution. The best results come when the two are planned together: content that performs well organically becomes ad creative, and ads bring new audiences to the account.

Does buying followers work?

No. Fake followers lower your engagement rate, make it harder for the algorithm to show your content to a real audience and damage brand trust. They also violate the platform’s rules.

How do you measure social media’s impact on sales?

Use UTM parameters in profile links, track traffic from social media separately in GA4 and record enquiries arriving via DM and WhatsApp with their source. During campaign periods, special discount codes also make it easier to isolate social-media-driven sales.
